Recordings and replays
Where your recording goes, choosing who can watch it, sharing it privately by link or email, and what it costs you in storage.

A recording only exists if the session was actually recorded. Either you ticked "Record this session" when you created the event, or you pressed Record while it was running. Nothing is recorded by default.
Recordings are on the Recordings tab of your events console.
The stages
Recording while the session is live, then Processing, then Ready. The table updates itself, so you can leave it open.
How long processing takes depends on how long the session was. A ninety minute call is not instant.
Choose who can watch
Each recording has a dropdown with five options:
Only me, the default safe choice
Everyone, which for a public event means anyone at all, signed in or not
Invited members, the people on the invite list
Members who RSVP'd
Anyone with the link, offered only on public events
Or put it in a course
Share to course moves the recording into a course as a lesson, which is usually the right home for a session worth rewatching.
Share a recording with a private link
The dropdown above only decides what your members see on their Events tab. To let someone outside your community watch, such as a guest who booked a call, or a member who missed it, share the recording with a private link or an email. It works on any ended event with a ready recording, including a call someone booked with you.
Only the community owner and admins can share a recording this way. An editor sees the controls locked, with the reason.
Open the ended event
Open the event in your console once it has ended. Under each ready recording, below the audience dropdown, are Copy link, Send email to participants and, once a link exists, Turn off link.
Copy the link
Copy link makes a link, or copies the one that is already live. Anyone who has it can watch in their browser, with no sign-in and no membership. A link works for 60 days from the day it is made, and the page tells you the date. A recording has one live link at a time, so copying again gives you the same address.
Or email it to the people who took part
Send email to participants opens a list of who took part. For a booked call that is Booked: the person who booked and any guests you added. For other events it is Invited (people you invited, by email or as members) and Going (members who said they are going). Everyone is ticked, and you can untick anyone. A person whose address Drry cannot email is struck through and skipped.
The list shows how many emails this will send, how many you have left this month, and the last share email each person got. You and the event host are not on the list, and neither is anyone who was never invited and never said they were going; for them, copy the link and send it yourself. You can email up to 100 people at a time. Send is switched off, with the reason, if the batch is bigger than that or than the emails you have left.
The email goes out from your name, with a Watch the recording button, and tells the person who gets it that anyone with the link can watch until the link expires. Emailing the same person again is allowed.
Turn the link off when you are done
Turn off link asks you to confirm. Every copy of the link stops working, and share emails that have not gone out yet are cancelled. Someone who is already watching can finish, for up to a few hours. Emails that have already gone out cannot be recalled. If you copy a link again afterwards, it is a new address.
What your guest sees
The link opens a plain page with the player and captions, in your community's colours and with no menus. The page is kept out of search engines. If the link has been turned off, has expired, or the recording can no longer be shared, the page says This link is not available and asks the visitor to get a new one from you.
Common questions
Where do members watch it?
On their Events tab, under the past sessions, with a Watch link once it is ready. While it is still processing it says so and is not clickable.
Can someone who is not a member watch a recording?
Yes, through a private link. Without one, a replay is for members. See "Share a recording with a private link" above.
I recorded a session but there is nothing here.
Either recording was never started, or it is still processing. If you never pressed Record and did not tick the option beforehand, there is nothing to recover.
Can I download it?
Not directly. Share it to a course if you want it somewhere permanent.
Does recording use up my participant hours?
No. Recording itself is free. Only the people in the call count.
Can my assistant share a recording?
Partly. A connected assistant can tell you which recordings can be shared, whether a link is on and until when, and how many share emails went out, as counts and never who. It can also turn a link off. Making the link and sending the email stay in your console.
