Publish files and email your members

How drafts, Publish and Unpublish work, how to email members about new files, what counts toward your allowance, and why fewer people may get it.

Every file and link you add starts as a draft, which members cannot see. Publishing puts it in front of the members whose tier opens it. Unlike publishing a course, publishing a Resource emails nobody unless you ask it to.

  1. Publish

    Open a file and press Publish, or tick several files and press Publish N in the bar at the bottom. A dialog titled Publish N files? opens. You can publish up to 500 at once.

  2. Decide about the email

    The box Email members about these files is off every time. Tick it and Drry counts who would get the email, for example Up to 42 members will get one email. Fits your plan's email allowance. Only the owner or an admin sees this box working. For editors it is shown locked.

  3. Confirm

    Press Publish, or Publish and email up to N if you ticked the box. Members see the files straight away. An email goes out within a minute.

Email about files that are already published

Tick the published files, press the ... button in the bottom bar, and choose Email members about N. This is how you tell people about an updated worksheet. Only published files can be emailed.

Who gets the email

One email per member, listing up to eight files and then and N more, with a link to each. The subject reads like New file: Meal plan or 3 new files in Resources (links are called links). It goes to members who:

  • can open the files, by tier. Each member's email lists only what they can open.

  • take announcements. They need both Announcements & offers and Email me about replies and mentions switched on in their account, and must not have unsubscribed.

  • have not already received 20 community emails from you in the last 24 hours. Coach posts count toward the same 20, and these members are skipped.

You do not get your own email.

What it costs

Each member reached is one send against your monthly email allowance, exactly like a broadcast. Members who are skipped cost nothing. See Your send allowance.

Check what happened

At the bottom of Resources, owners and admins see Recent emails to members. Each one is marked On its way, Sent, Not sent or Failed. A sent one says how many members it reached and how many were skipped for already having 20 emails. A cancelled one says why.

Unpublish

Open a file and press Unpublish, or tick files and press Unpublish N. Members stop seeing it at once. Nothing is deleted, and you can publish it again.

The New label

For 14 days after a file first goes live, members see a New label on it, whether or not you emailed.

Common questions

Why did nothing get emailed?

Check these in order. The files must be published. The Resources tab must be switched on for members. Your email allowance and spend cap must cover the send. Emails to members must not be paused for your community while its sending is reviewed. And at least one member must be eligible: able to open the files, taking announcements, and under 20 emails in the day.

Can I email the same files twice?

Not within ten minutes: a second request for the same files is treated as a repeat of the first and is not queued. After that you can, which suits an updated worksheet.

Do folders need publishing too?

No. Folders have no draft state, so a new folder is visible straight away, even when empty. The files inside it show once you publish them, to anyone the folder's tier limit allows. If the whole tab is switched off, nobody can see anything and the dialog says so. Turn the tab on first.

Who can email members?

The owner and admins. Editors can publish and unpublish, but the email box and the Email members action show locked.
