What your members see in Resources

How members find, search, view, download and open files and links in Resources, and what New and locked items look like to them.

Resources appears as a tab in your community, under whatever name you gave it (this article says Resources). Members have to be signed in and to belong to your community. Someone who is not signed in is sent to sign in first, and someone who has not joined is sent to the join page. If the tab is switched off, or limited to a tier a member does not have and set to hidden, the page simply is not found.

Browsing

The front page shows your folders first, then any files and links that are not in a folder. A line under the heading counts what is there, like 31 files across 4 folders. Opening a folder shows what is inside it, with a way back. Folders are one level deep.

Each file or link is a card, or a row if the member switches from Grid to List. That choice is remembered in the member's browser. A card shows the cover photo or a tile with the file type, the title, and the type and size of the file. A link shows its website instead. Anything that first went live in the last 14 days carries a New label.

Searching

The search box says Search Resources (it uses your name for the tab), or Search in this folder when a folder is open. It looks through titles, file names and descriptions, which is why a clear title and a short description are worth writing.

  • Words match as whole words, except the last one, which matches as the member types. Typing meal pl finds Meal plan.

  • Little words such as the, for and your are ignored.

  • A phrase in quotes finds those words next to each other.

  • Matching folders show above the files, and results come best match first.

Filtering and sorting

Chips narrow the list by type: All, Documents, Spreadsheets, Slides, Images, Archives, Video, Links and Other. A sort menu offers Coach's order (the order you set, and the default), Newest, Name A to Z and Size. On a phone both sit behind a Filters and sort button.

Opening things

  • Download is on every file. It saves the file to the member's device.

  • View appears on files a browser can show: PDFs, JPEG, PNG, WebP and GIF images, MP4 video, and plain text, CSV and Markdown files. It opens in a viewer on the page. On a phone, a PDF opens in the phone's own viewer in a new tab. If the browser cannot show a file after all, the member is offered Download instead.

  • Open is on a link. It opens the page in a new tab.

Word, Excel and PowerPoint files, ZIP archives, SVG images and other image types such as HEIC are download only.

Locked and hidden items

If you limit an item to a membership tier and chose Shown as locked, members below that tier see it with a lock and an Unlock with line naming the tier. That line takes them to the upgrade options. They cannot open or download the item. Items set to Hidden from others are not listed, not searchable and not counted for those members. See Limit Resources to a membership tier.

Common questions

Do members have to be signed in to download?

Yes. Every download and view checks that the person is signed in and that their membership opens the file. The short-lived download link Drry creates for each download expires after ten minutes, so a copied link does not keep working.

What happens when someone's membership ends?

They lose access to the files. If they try to download one they see a message that their membership no longer opens this community's files.

Can members see drafts?

No. A draft file or link is not listed, searchable or downloadable for members until you publish it.

Can members see how many times a file was downloaded?

No. Download, view and open counts are for your team. See Resources: limits, storage and counts.

Can I change what the tab is called and what the empty page says?
