Resources: limits, storage and counts

File types and sizes, how many files, links and folders you can have, what counts toward storage, and what the download, view and open numbers mean.

Limits

  • File size: up to 2 GB each.

  • File types: images of any kind, PDF, Word, Excel and PowerPoint files, CSV, plain text and Markdown, ZIP archives and MP4 video. Anything else is refused with a message.

  • Number of files: no limit of its own. Your storage is the only bound.

  • Links: up to 1,000.

  • Folders: up to 500, one level deep.

  • Cover photos: JPEG, PNG, WebP, GIF or AVIF, up to 10 MB each.

  • Titles and descriptions: 200 characters for a title and 2,000 for a description. A folder's title is 120 and its description 1,000.

  • At once: publishing, unpublishing, moving or deleting works on up to 500 files at a time, and an email can name up to 500.

Resources is on every plan, including Free. Plans differ in storage, not in what Resources can do. Only limiting items to a membership tier needs Growth.

What counts toward storage

  • Every uploaded file, at its size.

  • Every cover photo, on files, links and folders.

  • Not links. A link is just an address, so it costs no storage. A cover photo you give it does.

The Storage meter at the top of the Resources page shows how much of your plan you have used. Deleting a file frees its space straight away, and so does replacing a file with a smaller one. Deleting a folder deletes no files, so it frees only the folder's cover photo. For the full picture, see Storage: what counts and what does not.

Downloads, views and opens

Open a file and look under Activity.

  • Downloads go up each time a member downloads the file.

  • Views go up each time a member opens it in the browser. They are counted separately from downloads, and shown only for files a browser can display (PDFs, common images, MP4 and plain text).

  • Opens are what a link counts, each time a member follows it.

Every count goes up every time, so one member downloading twice counts twice. Your own team's downloads, views and opens (owner, admins and editors) are not counted. The numbers are totals per item. They do not say who. Replacing a file keeps its counts.

Common questions

Why was my file refused?

It is empty, over 2 GB, or an unsupported type. The message names which. See Resources: why a file is missing, will not open or will not upload.

Is there a total across all my files?

Not in the console. Each file shows its own counts. Your assistant can read them for you across the library.
